Executive Assistant

Small dynamic, experienced, networked small association management company seeks an executive assistant. This executive assistant position works closely with the company president who serves as the association executive director on various work all related to client associations and company’s administrative needs. Some examples of the types of responsibility include: 

  • Manage association databases, processing memberships and conference registrations.
  • Serve as a liaison with board and membership for executive director when he is out of the office.
  • Assist with all aspects of meeting planning.
  • Coordinate rosters, meetings, annual reports, minutes, agendas, and handouts.
  • Manage master calendar with critical dates and deadlines.
  • Manage the annual elections process and awards.
  • Answer phones and assist callers.
  • Open mail and process memberships, registrations, and maintain files.
  • Handle day to day needs as requested. 

An ideal candidate should be extremely polished and professional, trustworthy, excellent work ethic, with high energy, detail-oriented, and independent who is comfortable in a small company. The person must be very capable of managing multiple projects and functions simultaneously and working with technology to get this job done. Candidates should have excellent writing and editing skills, be customer focused, and extremely organized with excellent communication skills. Since the position reports directly to the company president and in a small office environment, this person must be flexible in the variety of work being delegated and comfortable working alone. Experience working with associations or other non-profits and experience working with databases required. Bachelor’s degree also preferred. 

Staff Accountant

Well-established small company seeks staff accountant to handle all aspects of clients’ day to day accounting functions. This individual will be responsible for general ledger, A/P, A/R, and fixed assets. This includes monthly and annual closing routines. In this key position, you will prepare journal entries and financial statements for CPA firm and client review; and assist accounting firm with tax forms. Company currently uses QuickBooks Online. You will be responsible for reconciling QuickBooks with the bank account on a monthly basis.  

This position will assist with new accounts, working with financial institutions, merchant services, and related vendors. Handle miscellaneous day-to-day office needs and other projects as needed. 

This position requires extensive accounting experience. This position also requires strong computer skills and detail allocation strongly desired. QuickBooks proficiency required, with QuickBooks certification strongly preferred. This person must have a strong understanding of accounting principles, including accrual based accounting. 

Administrative Assistant

Organization seeks administrative assistant to provide direct administrative support to office staff. This position shall answer phones and assist callers, open and process mail. This person will handle miscellaneous day-to-day office tasks and other projects as needed by staff and clients. 

This position requires quality database/data-entry work, general office administration skills, attention to detail, excellent customer service, and strong work ethic. Proficiency with Microsoft Office Suites helpful, especially Excel, Access, and Word. Understanding of basic accounting is a plus. 

Database Specialist

Dynamic non-profit association seeks database specialist to manage all related data-entry. This position will be responsible for entering conference and seminar registrations and cash receipts from registration forms. The position shall answer phones with related questions. The position will also enter all membership renewals, cash receipts from member forms, process address changes and invoices, and enter cash receipts from products. This position shall also process credit cards from purchases of products, registrations, and membership. 

This position shall answer phones and assist callers, open and processing mail. This position shall assist with meeting planning tasks such as nametags, supplies, and creating registration lists. This person will handle miscellaneous day-to-day office needs and other projects as needed by clients. 

This position requires quality database work, excellent attention to details, excellent phone and customer service, and strong work ethic. This position includes being computer savvy, having outstanding organizational skills, understanding of accounting, and excellent typing/data-entry and spelling skills. Data-entry accuracy and speed are important. Understanding of Microsoft Office Suites helpful, especially Excel, Access, and Word.

  • Managing the on-going content/message for each association to its members.
  • Facilitating all work with volunteer/contracted editors regarding all serial electronic and printed publications.
  • Soliciting and managing authors for each publication.
  • Managing all content, including compilation and editing of each publication.
  • Work closely with the art director to produce all publications as it relates to content management.
